WorkSite’s out-of-the box security only permits those with full access to create folders at the root of the workspace. The problem with this is that when a user is granted full access they are also given the ability to change security and metadata.   Granting this wide level of permission is not acceptable to most firms.  The result is that firms do not allow end users to create folders at the root level of workspaces and must provide them a complicated resource intensive set of pre-define folders at workspace generation.   

Prosperoware makes matter-centric deployment simpler and increases end user adoption.  Milan enables support for secure dynamic templates for workspace.

Milan enables you to have different business rules for the creation of folders in different types of workspaces (e.g. Matter, Firm, Personal, Committee).  This allows the firm to permit authorized users to create any folder they desire in their personal workspaces, but only allow folders names based on a standardized list in matter workspaces.  This control is available for folders at the root of a workspace and sub-folders.

With secure dynamic templates, the business analysis for a matter-centric rollout is greatly reduced.  No longer does anyone need to be concerned about whether a practice area has defined the perfect workspace before rollout.  In the traditional model, a mis-designed workspace meant users frustrated because they did not have required folder names, and had instead useless and unused folders.  Either way, the result was lawyer frustration. 

IT attempts to re-engineer missed or changed processes to meet lawyer needs can create massive IT headaches as it requires manipulation of documents and folders in numerous workspaces.  Still there is the risk that the new design might not be any more useful than the original. 

Milan offers a vastly simplified approach.  Instead of worrying whether every workspace will contain an extensive number of empty folders that clutter user experience, the minimum number of folders can be created at workspace initialization.  Henceforth authorized users can add needed folders at any time by selecting from a standard list.  This list of available standard folders can be adjusted at any time, thus making it easy to meet changing needs through the life of a matter-centric deployment.   The results are:
